ACCOUNTS PAYABLE (Full-time)
Description
Purpose:
The Accounts Payable Clerk is responsible for managing and processing invoices, ensuring timely payments, and maintaining accurate financial records within an organization. This is a key position that supports administrative functions of the hospital district.
Responsibilities:
- Review, verify, reconcile and record invoices and employee reimbursements for payment.
- Reconcile vendor statements and resolve discrepancies.
- File documents in an orderly fashion; archive documents according to retention schedules.
- Provide weekly cash requirements to the CFO; manage the weekly check run.
- Understand and maintain the accounts payable platform and alternate payment methods (EFT, ACH, etc.)
- Adhere to PCHD’s confidentiality policies regarding facility business and internal information about the hospital district, its employees, customers, and suppliers. Strictly adhere to all IT and cybersecurity policies and procedures.
- Communicate effectively through the chain of command. Manage vendor communications and promptly escalate nonroutine exchanges.
- Prepare reports and other documents as needed for audits, cost reporting, financials, and ad hoc requests.
- Prepare and file annual 1099 forms.
- Perform all other duties assigned by CFO and support the CEO as requested.
- Serve as backup for Central Supply. Assist with physical inventory counts.
- Support switchboard and front desk functions as needed.
Working Conditions:
- Subject to frequent interruptions.
- Interacts with other personnel, physicians and patients.
- Stands, sits, bends, lifts, and uses frequent pushing and pulling movements. Walking throughout the hospital, clinic, and therapy locations is necessary.
- May encounter hostile personnel, physicians, patients and families.
- Occasional overtime may be required.
Qualifications
- High School graduation required
- Proficiency with accounting software and Microsoft Office Suite is required. Excel experience required.
- Analytical skills with high attention to detail are required.
- Good written and verbal communication skills required.
- Ability to work independently.
- Previous related work experience required. Healthcare industry experience preferred.
- Must speak English.
